Terms of Service

These Terms of Service ("Terms") govern your access to and use of rikroots, a candidate-placement and invoicing platform for staffing and recruiting agencies ("rikroots," "we," "us"). By creating an account or using rikroots, you agree to these Terms on behalf of yourself and the company you represent ("you," "your," "Customer").

1. The Service

rikroots lets staffing agencies manage customers, candidates, invoices, and recurring billing schedules, and offers an AI assistant ("Sophie") that can help draft records inside your account. rikroots is provided on a subscription basis after an initial free trial period.

2. Accounts

You must provide accurate information when creating an account and are responsible for activity under your account and for keeping your login credentials confidential. You must be authorized to bind your company to these Terms.

3. Trial, Subscription & Billing

New accounts include a free trial period. Continued use after the trial requires a paid subscription, billed through the Apple App Store or Google Play in-app purchase system (or another payment method we make available). Subscriptions renew automatically until cancelled through the billing platform you subscribed through. Fees are non-refundable except where required by law or by the applicable app store's refund policy.

4. Your Data

You retain ownership of the customer, candidate, invoice, and other business data you enter into rikroots ("Customer Data"). You are responsible for the accuracy of Customer Data and for having the right to enter it into the Service, including any personal information about your customers or candidates.

5. Payments You Collect From Your Own Customers

If you connect your own Stripe account to rikroots, payments your customers make through invoices are processed directly by Stripe under your own Stripe merchant agreement. rikroots is not a party to those transactions and does not hold or control those funds.

6. Card Surcharges

If you enable a card-payment surcharge, you are solely responsible for ensuring it complies with applicable law and card network rules in the jurisdictions where you and your customers are located — rikroots does not determine, cap, or guarantee the legality of any surcharge amount. Card surcharging is not available for invoices billed in GBP or EUR, as UK and EU law restrict surcharges on consumer card transactions. For invoices billed in CAD, AUD, or NZD, a surcharge is applied only once you confirm in Settings that it reflects your actual cost of card acceptance and complies with applicable regulations, including any province- or state-specific rules; you are responsible for the accuracy of that confirmation. For all other currencies, including USD, you remain responsible for ensuring your surcharge amount and disclosure practices comply with applicable law and card network requirements.

7. Sophie, the AI Assistant

Sophie is an AI assistant (powered by Anthropic's Claude models) that can read your account's data and help create new records (customers, invoices, recurring schedules, and similar) when you ask her to. Sophie does not edit, delete, void, send, or mark existing records as paid — those actions always require you to take them directly in the app. Messages you send Sophie may be processed by our AI provider to generate a response.

8. Acceptable Use

You agree not to: use rikroots for any unlawful purpose; attempt to gain unauthorized access to other tenants' data or our systems; interfere with the Service's normal operation; or use the Service to send unsolicited communications in violation of applicable law.

9. Third-Party Services

rikroots relies on third-party providers to operate — including Stripe (payments), Apple/Google (subscription billing), RevenueCat (subscription management), Brevo (transactional email), and Anthropic (Sophie). Your use of rikroots is also subject to those providers' own terms where applicable.

10. Data Retention & Account Closure

We retain Customer Data for as long as your account is active. If your subscription lapses, we will provide advance notice before any data is removed and the opportunity to export your data; specific retention windows are described in our Privacy Policy and may be updated as our policies evolve.

11. Disclaimers & Limitation of Liability

rikroots is provided "as is" without warranties of any kind, express or implied. To the maximum extent permitted by law, rikroots and its affiliates are not liable for indirect, incidental, or consequential damages arising from your use of the Service, and our total liability for any claim is limited to the amount you paid us in the 12 months before the claim arose.

12. Termination

You may stop using rikroots and cancel your subscription at any time through the billing platform you subscribed through. We may suspend or terminate accounts that violate these Terms.

13. Changes to These Terms

We may update these Terms from time to time. We'll update the effective date above when we do; continued use of rikroots after a change means you accept the updated Terms.
